Payment Policy

The objectives of this Payment Policy include, without limitation:

  • Clarifying domestic and international payment requirements;

  • Protecting the Company’s legitimate commercial, operational, financial, and legal interests.

3. Scope of this Policy

This Policy applies to every payment made or attempted to be made in connection with any purchase, consultation, service, order, or transaction conducted through any officially authorized platform or sales channel of Herbal Samrat International Co.

Without limitation, this Policy applies to payments made through:

  • The Company’s official website(s);
  • Customer portal(s);
  • Mobile applications (current or future);
  • WhatsApp Business;
  • Telephone orders;
  • Email communications;
  • SMS communications;
  • Video consultations (where available);
  • Facebook;
  • Instagram;
  • X (formerly Twitter);
  • YouTube;
  • LinkedIn;
  • Telegram;
  • Online marketplaces including Amazon, Flipkart, Meesho, Shopsy, and similar marketplaces;
  • Authorized distributors;
  • Authorized dealers;
  • Franchise partners;
  • Authorized healthcare representatives;
  • Authorized sales representatives;
  • Customer support representatives;
  • Offline consultation centres (where available); and
  • Any future digital platforms, payment technologies, communication channels, marketplaces, or sales systems officially authorized by Herbal Samrat International Co.

This Policy applies regardless of whether the purchase is made by an individual consumer, business entity, reseller, distributor, dealer, franchise partner, or any other authorized purchaser.

4. Domestic and International Applicability

Herbal Samrat International Co. serves customers located within India as well as eligible international customers.

Accordingly, this Policy applies to:

  • Customers residing in India;
  • International customers;
  • Non-Resident Indians (NRIs);
  • Overseas buyers;
  • Business customers;
  • Corporate purchasers;
  • Authorized distributors;
  • Authorized dealers;
  • Franchise partners; and
  • Any person or entity making payments to Herbal Samrat International Co.

International payments may be subject to additional banking regulations, foreign exchange laws, payment gateway requirements, import regulations, tax obligations, sanctions screening, anti-money laundering requirements, and destination-country legal requirements.

Customers remain responsible for complying with the payment-related laws applicable in their own jurisdiction unless otherwise required by mandatory law.

5. Definitions

For the purposes of this Policy:

“Company” means Herbal Samrat International Co.

“Platform” means the Company’s official website, customer portal, mobile applications, online marketplaces, communication channels, and all officially authorized digital platforms.

“Customer” means any individual or legal entity purchasing products or services from the Company.

“Order” means a request submitted to purchase one or more products or services offered by the Company.

“Payment” means any amount paid or intended to be paid to the Company for products, consultation services, shipping charges, taxes, service fees, or any other lawful charges.

“Payment Gateway” means any secure payment processing platform, financial technology service provider, banking partner, payment processor, merchant acquiring service, or similar payment infrastructure authorized by the Company from time to time.

“Bank Transfer” means an electronic transfer of funds to the Company’s officially designated bank account using any lawful banking method.

“Cash on Delivery (COD)” means payment collected from the customer at the time of delivery, where such facility is offered and available.

6. Official Sales and Payment Channels

Customers should make payments only through the officially authorized payment channels communicated or made available by Herbal Samrat International Co.

Payments may be accepted through one or more officially authorized channels depending upon operational availability, customer location, payment method, applicable law, and technical feasibility.

The Company strongly advises customers not to transfer funds to any personal bank account, unofficial UPI ID, unauthorized payment link, unknown QR code, or any person claiming to represent Herbal Samrat International Co. unless such payment details have been officially communicated by the Company.

Herbal Samrat International Co. shall not be responsible for payments made to unauthorized persons, fraudulent accounts, fake websites, impersonators, or unofficial payment channels.

Customers are encouraged to verify payment instructions through the Company’s official communication channels before completing any payment.

7. Accepted Payment Methods

Herbal Samrat International Co. may accept one or more payment methods depending upon the customer’s location, applicable laws, operational requirements, product availability, and technical feasibility.

Accepted payment methods may include, without limitation:

  • Cash on Delivery (COD), where available;
  • Credit Cards;
  • Debit Cards;
  • UPI (Unified Payments Interface);
  • Net Banking;
  • IMPS;
  • NEFT;
  • RTGS;
  • Official Bank Transfers;
  • QR Code Payments officially issued by the Company;
  • Wallet-based payment services (where available);
  • International Card Payments;
  • International Bank Transfers;
  • Marketplace-supported payment methods;
  • Other digital payment methods officially approved by Herbal Samrat International Co.; and
  • Future payment technologies introduced by the Company from time to time.

The availability of any payment method may vary depending upon the customer’s location, applicable laws, banking regulations, payment gateway availability, technical limitations, fraud prevention measures, or operational considerations.

The Company reserves the right to introduce, suspend, modify, restrict, or discontinue any payment method at any time without prior notice, subject to applicable law.

8. Payment Gateways

To facilitate secure electronic transactions, Herbal Samrat International Co. may use one or more trusted payment gateway providers.

At present, the Company primarily utilizes CCAvenue as its online payment gateway.

However, the Company may, at its sole discretion, introduce, replace, remove, or use additional payment gateways, merchant acquiring services, banking partners, fintech providers, or payment processors in the future without requiring amendment of this Policy.

Customers acknowledge that payment processing may involve independent third-party payment service providers whose services remain subject to their own legal terms, privacy policies, banking regulations, and security standards.

The Company does not control the internal systems, banking networks, or technical infrastructure of independent payment gateway providers.

9. Payment Security

Herbal Samrat International Co. is committed to maintaining commercially reasonable security measures to help protect payment transactions processed through officially authorized payment channels.

Depending upon operational requirements, payment security measures may include:

  • Secure payment gateway integration;
  • SSL/TLS encryption;
  • Banking security protocols;
  • OTP authentication;
  • Fraud monitoring systems;
  • Transaction verification procedures;
  • Risk-based payment screening;
  • Internal compliance procedures; and
  • Other reasonable technical, organizational, or administrative safeguards.

Although reasonable security measures are implemented, no internet-based payment system can be guaranteed to be completely secure.

Customers are responsible for protecting their own banking credentials, passwords, OTPs, PINs, payment devices, and account access information.

The Company will never request customers to disclose confidential banking credentials such as ATM PINs, CVV numbers, internet banking passwords, or OTPs through unauthorized communication channels.

10. Payment Verification

For security, fraud prevention, regulatory compliance, and operational reasons, Herbal Samrat International Co. reserves the right to verify any payment before accepting or processing an order.

Verification may include:

  • Confirmation of successful payment;
  • Identity verification;
  • Banking confirmation;
  • Transaction authentication;
  • Payment gateway verification;
  • Fraud screening;
  • Address verification;
  • Compliance verification;
  • Anti-money laundering checks (where applicable); and
  • Any other verification reasonably necessary to process the transaction.

Orders may remain pending until payment verification has been successfully completed.

The Company reserves the right to request additional information or documentation where reasonably necessary to verify the legitimacy of a payment.

11. Order Acceptance Following Payment

Successful submission of payment, generation of a transaction reference number, issuance of a payment receipt, or receipt of an automated payment acknowledgement does not by itself constitute acceptance of an order.

An order shall generally be considered accepted only after:

  • Payment has been successfully verified (where applicable);
  • Product availability has been confirmed;
  • Internal order verification has been completed;
  • Regulatory requirements have been satisfied; and
  • The Company has confirmed that the order is approved for processing.

Herbal Samrat International Co. reserves the right to decline, suspend, or cancel an order after payment where permitted by applicable law, including in cases involving pricing errors, suspected fraud, legal restrictions, product unavailability, payment irregularities, duplicate orders, or other legitimate operational reasons.

Where payment has already been received for a cancelled order, the Company will process any applicable refund in accordance with its Refund Policy and applicable law.

12. Payment Currency

Domestic transactions are ordinarily processed in Indian Rupees (INR).

International payments may be processed in INR or in another currency supported by the applicable payment gateway, banking institution, or payment processor.

Where currency conversion occurs:

  • Exchange rates may be determined by the customer’s bank, card issuer, payment gateway, or financial institution;
  • Additional foreign exchange conversion charges may apply;
  • International banking fees may be charged by intermediary banks; and
  • Such charges are generally outside the control of Herbal Samrat International Co.

The Company shall not be responsible for exchange rate fluctuations, foreign transaction charges, intermediary banking fees, or currency conversion costs imposed by third-party financial institutions.

13. General Payment Principles

All payments made to Herbal Samrat International Co. must be lawful, genuine, and made using authorized payment methods.

Customers agree that:

  • They are legally authorized to use the selected payment method;
  • Payment information provided is accurate and complete;
  • Payments will not originate from fraudulent, stolen, or unauthorized financial instruments;
  • They will comply with applicable banking, taxation, foreign exchange, and financial laws;
  • They will cooperate with any reasonable payment verification requests made by the Company; and
  • They will not knowingly attempt to misuse the Company’s payment systems.

Herbal Samrat International Co. reserves the right to refuse, suspend, investigate, or cancel any transaction that reasonably appears to involve fraud, unauthorized payment activity, money laundering concerns, abuse of promotional offers, suspicious financial activity, or any violation of applicable law or Company policies.

The Company may also implement additional payment security measures, verification procedures, transaction limits, or risk-control mechanisms from time to time to safeguard its customers, payment infrastructure, and legitimate business interests.

14. Domestic Payment Policy

Customers placing orders for delivery within India may be offered one or more payment methods depending on product category, delivery location, operational feasibility, applicable law, and payment availability.

Subject to availability, domestic customers may make payments using:

  • Cash on Delivery (COD);
  • Credit Cards;
  • Debit Cards;
  • UPI (Unified Payments Interface);
  • Net Banking;
  • Official Bank Transfer;
  • QR Code Payments officially issued by the Company;
  • Wallet-based payment services (where available);
  • Other officially authorized payment methods introduced by Herbal Samrat International Co. from time to time.

The availability of any payment option is determined solely by the Company and/or the applicable payment service provider and may vary without prior notice.

15. International Payment Policy

Customers placing orders for delivery outside India must generally complete payment in advance unless the Company expressly agrees otherwise in writing.

At present, Cash on Delivery (COD) is not available for international orders.

International customers may make payments using one or more officially approved methods, including:

  • International Credit Cards;
  • International Debit Cards;
  • Official Bank Transfer;
  • International payment gateway services;
  • Other digital payment methods officially supported by the Company from time to time.

International payments may be subject to:

  • Banking regulations;
  • Foreign exchange laws;
  • International payment verification;
  • Anti-money laundering requirements;
  • Sanctions screening;
  • Cross-border compliance checks; and
  • Other applicable legal or regulatory requirements.

The customer remains responsible for complying with all applicable financial laws in their country of residence.

16. Cash on Delivery (COD) Policy

Where available, Herbal Samrat International Co. may permit eligible customers within India to pay for their orders at the time of delivery.

The availability of COD depends upon several factors, including but not limited to:

  • Delivery location;
  • Courier service availability;
  • Product category;
  • Order value;
  • Customer purchase history;
  • Fraud risk assessment;
  • Operational feasibility; and
  • Other internal business considerations.

The Company reserves the absolute discretion to:

  • Offer or withdraw COD;
  • Restrict COD for certain locations or products;
  • Require advance payment instead of COD;
  • Limit COD eligibility for particular customers or transactions; or
  • Modify COD availability at any time without prior notice, subject to applicable law.

Repeated refusal to accept COD deliveries or misuse of the COD facility may result in permanent or temporary restriction of COD eligibility for future orders.

17. Prepaid Orders

Customers choosing prepaid payment methods agree that payment must be successfully completed before the order is processed, unless otherwise agreed by the Company.

Prepaid payment methods may include:

  • Credit Cards;
  • Debit Cards;
  • UPI;
  • Net Banking;
  • Official Bank Transfer;
  • Payment Gateway transactions;
  • International electronic payments; and
  • Other officially approved payment methods.

Orders paid through prepaid methods generally enter processing only after successful payment confirmation and verification.

The Company reserves the right to delay processing where payment verification remains pending.

18. Official Bank Transfer Policy

Where payment by bank transfer is permitted, customers must transfer funds only to the Company’s officially designated bank account communicated through authorized channels.

Customers should not transfer funds to:

  • Personal bank accounts;
  • Accounts communicated through unofficial sources;
  • Unknown beneficiaries;
  • Third-party accounts unless expressly authorized by the Company in writing.

Customers are responsible for ensuring that:

  • Correct beneficiary details are used;
  • Correct account number is entered;
  • Correct IFSC/SWIFT details are used (where applicable);
  • Correct payment amount is transferred; and
  • Appropriate payment reference or Order Number is mentioned wherever reasonably possible.

Herbal Samrat International Co. shall not be responsible for losses arising from payments made to incorrect or unauthorized bank accounts.

19. Payment Confirmation

Orders are generally processed only after successful confirmation of payment.

Payment confirmation may include verification through:

  • Payment Gateway confirmation;
  • Banking confirmation;
  • Internal finance verification;
  • Settlement confirmation;
  • Transaction reference verification; or
  • Other commercially reasonable verification procedures.

For payments made through official bank transfer, order processing ordinarily begins only after funds have been successfully credited to the Company’s officially designated bank account and verified by the Company’s finance team.

Customers should not assume that submission of payment instructions alone constitutes successful payment.

20. Payment Failure or Unsuccessful Transactions

A payment may fail due to various reasons, including but not limited to:

  • Insufficient account balance;
  • Banking network issues;
  • Incorrect payment details;
  • Expired cards;
  • Payment gateway errors;
  • Authentication failures;
  • Technical interruptions;
  • Regulatory restrictions;
  • Fraud prevention measures;
  • Internet connectivity issues; or
  • Other circumstances beyond the Company’s reasonable control.

Where payment is unsuccessful:

  • The related order may remain pending, on hold, or be cancelled;
  • Products will generally not be reserved indefinitely;
  • Shipment will not ordinarily be initiated until successful payment confirmation is received; and
  • Customers may be requested to retry payment using an alternative authorized payment method.

Herbal Samrat International Co. shall not be responsible for delays arising solely from failed, incomplete, declined, or interrupted payment transactions attributable to banks, payment gateways, payment processors, telecommunications providers, or customer-related errors.

21. Taxes, GST and Statutory Charges

All applicable taxes, including Goods and Services Tax (GST), shall be charged in accordance with the laws of India, where applicable.

International customers may additionally be responsible for:

  • Import duties;
  • Customs duties;
  • VAT;
  • GST;
  • Local taxes;
  • Clearance charges;
  • Brokerage fees; and
  • Other governmental levies imposed by the destination country.

Unless expressly stated otherwise, such international charges are the sole responsibility of the customer and are not included in the product price or shipping charges quoted by Herbal Samrat International Co.

22. Duplicate or Excess Payments

If a customer accidentally makes a duplicate payment or pays an amount in excess of the amount payable for an order, the customer should promptly notify Herbal Samrat International Co. through the Company’s officially authorized customer support channels.

Upon verification of the transaction and subject to applicable law, the Company may:

  • Adjust the excess amount against another order, where requested by the customer and agreed by the Company;
  • Refund the excess amount through an appropriate payment method in accordance with the Company’s Refund Policy; or
  • Take any other commercially reasonable action permitted by law.

The Company reserves the right to verify all duplicate payment claims before processing any adjustment or refund.

23. Unauthorized or Suspicious Transactions

Herbal Samrat International Co. is committed to preventing fraudulent, unauthorized, or unlawful payment activities.

If the Company reasonably suspects that a payment:

  • Was made without proper authorization;
  • Involves stolen or compromised payment credentials;
  • Is linked to identity theft;
  • Involves fraudulent activity;
  • Violates applicable laws or banking regulations; or
  • Presents an unusual financial or operational risk,

the Company reserves the right, to the extent permitted by applicable law, to:

  • Suspend or place the order on hold;
  • Request additional identity or payment verification;
  • Decline or cancel the order;
  • Delay dispatch until verification is completed;
  • Report the matter to the relevant payment gateway, financial institution, marketplace, courier partner, or competent authority where legally appropriate; and
  • Exercise any other lawful rights available to protect its customers and legitimate business interests.

24. Fraud Prevention Measures

To safeguard customers, payment systems, and business operations, Herbal Samrat International Co. may implement reasonable fraud prevention measures, including:

  • Risk-based transaction monitoring;
  • Address verification;
  • Identity verification;
  • Device or technical verification;
  • Payment pattern analysis;
  • Manual transaction review;
  • Compliance screening;
  • Anti-money laundering checks (where applicable); and
  • Other commercially reasonable security procedures.

Customers agree to cooperate with legitimate verification requests where reasonably necessary.

Failure to provide requested information within a reasonable time may result in delay, suspension, or cancellation of the order, subject to applicable law.

25. Chargebacks and Payment Disputes

Customers are encouraged to contact Herbal Samrat International Co. before initiating a chargeback, payment reversal, or payment dispute through their bank, card issuer, payment gateway, or financial institution.

Where a chargeback or payment reversal is initiated, the Company may:

  • Temporarily suspend order processing;
  • Suspend shipment of pending orders;
  • Request supporting documentation;
  • Contest an invalid or fraudulent chargeback with the relevant financial institution;
  • Recover any lawful costs incurred due to fraudulent or abusive chargeback activity; and
  • Take any other lawful action available under applicable law.

Nothing in this section limits a customer’s statutory rights to dispute unauthorized or unlawful transactions under applicable banking or consumer protection laws.

26. Marketplace Payments

Orders placed through third-party online marketplaces, including but not limited to Amazon, Flipkart, Meesho, Shopsy, or similar platforms, may be subject to the respective marketplace’s payment systems, payment terms, refund procedures, and transaction policies in addition to this Policy.

Where a conflict exists between this Policy and mandatory marketplace payment requirements applicable to a specific marketplace order, the relevant marketplace requirements shall apply to the extent required for that transaction.

Herbal Samrat International Co. is not responsible for delays, technical failures, payment processing issues, or settlement procedures that are solely attributable to the payment infrastructure of an independent marketplace.

27. Promotional Offers, Discounts and Coupons

From time to time, the Company may offer promotional discounts, coupon codes, cashback offers, gift vouchers, loyalty benefits, or other promotional incentives.

Unless expressly stated otherwise:

  • Promotional offers are subject to specific terms and conditions;
  • Offers may be time-limited;
  • Offers may be withdrawn or modified at any time;
  • Multiple offers may not be combined;
  • Promotional benefits have no cash value unless expressly stated; and
  • Misuse, abuse, or fraudulent use of promotional offers may result in cancellation of the offer, cancellation of the order, or restriction of future purchases.

The Company reserves the right to verify eligibility before applying any promotional benefit.

28. Pricing Errors

While Herbal Samrat International Co. endeavors to maintain accurate pricing, inadvertent pricing errors, typographical errors, technical errors, or system-related inaccuracies may occasionally occur.

If an obvious pricing error is identified before dispatch, the Company reserves the right, subject to applicable law, to:

  • Correct the price;
  • Inform the customer of the corrected price;
  • Request confirmation before proceeding with the order; or
  • Cancel the affected order and process any applicable refund in accordance with the Refund Policy.

The Company shall not be obligated to supply products at an obviously incorrect price resulting from a genuine error where applicable law permits correction or cancellation.

29. Third-Party Payment Providers

Electronic payments may be processed through independent banks, payment gateways, merchant acquiring institutions, fintech service providers, payment processors, wallet providers, or similar third-party payment service providers.

Although Herbal Samrat International Co. selects reputable service providers, the Company does not control their internal systems, banking infrastructure, processing times, technical availability, security architecture, or operational decisions.

Accordingly, the Company shall not be responsible for delays, transaction failures, service interruptions, or technical issues solely attributable to independent third-party payment providers, except where liability cannot lawfully be excluded.

30. Future Payment Technologies

As the Company’s business evolves, Herbal Samrat International Co. may introduce additional payment methods or financial technologies, including but not limited to:

  • New payment gateways;
  • Digital wallets;
  • Buy Now Pay Later (BNPL) services;
  • EMI facilities;
  • Subscription or recurring payment systems;
  • International payment processors;
  • QR-based payment technologies;
  • Mobile payment applications; or
  • Other legally compliant payment solutions.

The introduction, modification, suspension, or discontinuation of any payment technology shall not, by itself, require amendment of this Policy unless otherwise required by applicable law.

Any newly introduced payment method shall automatically be governed by this Payment Policy together with any supplementary terms specifically communicated by the Company.

31. Right to Hold, Suspend or Cancel Orders

To protect its customers, payment systems, and legitimate business interests, Herbal Samrat International Co. reserves the right, to the extent permitted by applicable law, to temporarily hold, suspend, or cancel any order or payment transaction where it reasonably believes that additional verification or investigation is necessary.

Without limitation, such circumstances may include:

  • Unsuccessful or pending payment confirmation;
  • Suspected fraudulent or unauthorized payment activity;
  • Duplicate or excessive payments;
  • Payment gateway risk alerts;
  • Banking verification requirements;
  • Regulatory compliance requirements;
  • Identity verification concerns;
  • Pricing or technical errors;
  • Product unavailability;
  • Operational or inventory constraints;
  • Government restrictions;
  • Legal or regulatory obligations; or
  • Any other circumstance where the Company reasonably considers additional review necessary.

Where practicable, the Company will make reasonable efforts to inform the customer regarding the status of the affected order.

If an order is cancelled after payment has been successfully received, any applicable refund shall be processed in accordance with the Company’s Refund Policy and applicable law.

32. Customer Payment Responsibilities

Customers are responsible for ensuring that:

  • Payment information submitted is accurate and complete;
  • Sufficient funds are available before initiating payment;
  • The selected payment method is valid and lawfully owned or authorized for use;
  • Payment is made only through officially authorized payment channels;
  • Correct payment references are provided where applicable;
  • Banking credentials, passwords, OTPs, PINs, CVV numbers, and authentication codes remain confidential;
  • Any suspected unauthorized transaction is reported promptly to the relevant bank, payment provider, and the Company; and
  • All applicable financial, banking, taxation, and foreign exchange laws are complied with.

Failure to fulfil these responsibilities may delay payment processing or affect the Company’s ability to investigate payment-related issues.

33. Limitation of Liability

To the fullest extent permitted by applicable law, Herbal Samrat International Co., its proprietors, employees, consultants, officers, representatives, authorized dealers, distributors, franchise partners, payment service providers, technology partners, and other authorized service providers shall not be liable for any indirect, incidental, consequential, exemplary, punitive, special, or economic loss arising from or relating to:

  • Banking network failures;
  • Payment gateway interruptions;
  • Technical system failures;
  • Internet connectivity issues;
  • Delayed payment confirmations;
  • Foreign exchange fluctuations;
  • Card issuer decisions;
  • Payment authentication failures;
  • Customer errors;
  • Incorrect banking details supplied by the customer;
  • Third-party financial institution actions; or
  • Other circumstances beyond the Company’s reasonable control.

Nothing in this Policy excludes or limits liability that cannot lawfully be excluded or limited under applicable law.

34. Electronic Communications

Customers agree that payment-related communications may be provided electronically through one or more officially authorized communication channels, including:

  • Email;
  • SMS;
  • WhatsApp Business;
  • Telephone;
  • Customer account notifications;
  • Mobile applications;
  • Online marketplaces (where applicable); or
  • Other officially authorized digital communication platforms.

Such communications may include:

  • Payment acknowledgements;
